As a Finance Administrator, your primary responsibility will be to ensure the efficient processing of supplier invoices for Aspire Defence Services Limited (ADSL) and Aspire Defence Services (ADS). This involves reviewing and accurately keying in supplier invoices into our ERP system, IFS, on a daily basis. You'll also play a crucial role in addressing and resolving supplier queries promptly and competently. In addition, you will ensure that all invoice queries in IFS are resolved accurately and in a timely manner.
Effective communication is key in this role. You will liaise with central and garrison finance teams, both internal and external customers, and external suppliers to facilitate smooth transaction processing. To maintain compliance with ADSL finance policies, processes, and procedures, you will be diligent in your work. Additionally, you will assist the Transaction Processing Manager with any adhoc duties as required.
In this role, excellent systems and IT skills are crucial for efficient transaction processing. Effective communication is essential for dealing with various stakeholders. Your keen eye for detail will ensure accuracy in your work, and your excellent organisational skills will help you manage tasks effectively.
Essential qualifications and experience include a prior track record in an Accounts Payable/Transaction Processing role and a strong working knowledge of VAT. You should also have experience working in a busy office environment and be familiar with accounting processes. Strong numerate and analytical skills, effective interpersonal skills, and sound communication and organisational skills are crucial. You should be adept at handling demanding internal and external customers, work independently by taking initiative, and excel at prioritising your workload.
Desirable qualifications and skills include a working knowledge of HMRC's Construction Industry Scheme (CIS), the ability to work both independently and as part of a small team, self-discipline, initiative, and effective workload prioritization. Strong communication skills, both written and spoken, along with a thorough, methodical approach and meticulous attention to detail, are highly valued. Flexibility, adaptability, and a proactive "can-do" attitude round out the desired qualifications and skills for this role.

Ready to join the team?
To qualify for this role, you must have a good GCSE education level and possess an intermediate understanding of Microsoft Excel. Additionally, it's desirable to have a working knowledge of IFS and be either studying for or partially qualified with the Association of Accounting Technicians (AAT).
